SF conventions regularly have most of the conference rooms at a hotel
for the whole weekend. I don't think they spend 10s of 1000s of dollars
(but perhaps close). A hotel probably isn't the right place to use
however as they do expect to rent a number of rooms to the attendees,
and are certainly more expensive than a university.
What was hard was that the area available for the pirate game was not
lockable, which meant a significant amount of time to pack stuff away
and bring it out again. This effectively eliminated the possibility of
the game running for longer than Saturday.
On the other hand, with sufficient upfront negotiating, I bet 24 hour
conference access to the rooms could have been negotiated. Hopefully we
left a good impression which will make that easier (I think we did leave
a good impression with security which may be the most important point to
getting 24 hour access). If we get 24 hour access though, we need to be
carefull of how visible it is that people are sacking out on site since
the issue of people sleeping in the buildings is one of the reasons
universities don't allow 24 hour access to the buildings.
The AC was definitely a problem. We probably could have had them crank
it up a bit, but the major problem I had (and most likely anyone else in
the pirate game) was that lounge area had a lot of window space and it
would be hard pressed for a central AC system to keep that cool without
turning the interior rooms into ice boxes.

| (...) Perhaps at another building but not at that one. It's open from 9-11 every day wether the fest is there or not. They simply don't have the security staff to do it 24hrs. The main campus would have a better chance of accomodating 24hr use (...) (24 years ago, 13-Jun-00, to lugnet.org.us.wamalug)
