Volunteers: They are just that--volunteers. They graciously give of their
time, and (usually) are not expecting recompense for that time. They should
not be expected to cover any expenses in addition to their registration and
food/lodging. (Its a nice touch when they can get a lunch or dinner, or
something special to say thanks for the time they put in.)

On that I dont think I agree. I think that volunteers (of sufficient
involvement) should be given free registration. If you are volunteering then
you have to attend and it is thus an expense. In the event of a loss then
I imagine those same volunteers would typically be the first to pass the
hat to help offset costs.

Not sure I agree there either - speaking as an organiser of Brickvention, all
the organisers, helpers, presenters, etc paid registration, it meant the
difference between a small loss and a large loss. Even our Australian LEGO
Ambassador paid his registration fee ;)
Granted, Brickvention is considerably smaller than either Brickvention or
Brickworld, but I have no problem asking volunteers to pay their own way.
After all, arent all attendees volunteers really? I mean, they choose to
bring their MOCs (sometimes large amounts and long distances), just to get
together with other AFOLs, and provide a spectacle that (hopefully) the
public will find interesting enough to pay to see.

That is why I said of sufficient involvement and the no hard and fast rules
bit you snipped. In the case of a small convention like BV then there simply
arent the funds to let all the volunteers in for free. In that case you have to
set the bar for sufficient involvement quite high (in this case higher than
anyone involved) in order to balance the needs of the event.
Were the event to expect large profits then I think it would be churlish not to
extend the free entry to more volunteers. I would hope that if losses occurred
rather than the expected profit then those volunteers would pay their
registration in order to help it break even.
And when you have a public exhibition then yes, all people who bring MOCs are
volunteers to some extent but those with less responsibilities can spend more
time enjoying themselves than those with more.
Tim
PS. And to make it clear, Im not directing any of these arguments at anything
or anyone. I realise how hard it is to run a convention and if you choose to
take one on then you get to set the rules. At heart I guess Im just saying how
I would try to run things and how I would like to see things run in my
over-the-rainbow ideal world.

| (...) Well, I'd rather see them all pay the fee beforehand, then be compensated (fee returned, nice lunch, whatever) after there's an indication how good the finances are (which is usually fairly apparent by the end of the public expo).
